Reporting to the Warehouse Manager, the successful applicant will be required to conduct and oversee all administrative functions within the operations. Document Control and verification of SAP transactions. To coordinate the onshore and offshore material controllers' holidays, cover, check-in times, hotel bookings, timesheets, and training. Duties include:
•Maintain accurate records, update tracking systems
•Check delivery documents (PO/Consignment notes/Backload/Disposal)
•Investigate and expedite queries regarding documents (PO/Consignment notes/Backload/Disposal)
•Provide administrative support to the cycle count team
•Stock return transactions/Bin to Bin SAP transfers
•Produce stock counts and weekly/monthly SAP reports
•Receipt PO’s and issue material in SAP
•Raise transport requests through ILMS
•Control and monitor Daily Receipts and Temporary Storage trackers
•Generate tracker spread sheets as required
•Source quotations, raise Purchase Orders and GRN using Purchase Order Process System, and maintain PO tracker
•Record and transcribe minutes of meetings
•Update records and co-ordinate training for all operational colleagues
•Monitor and collate timesheets for processing by payroll
•Raise work tickets and schedule repairs
•Monitor CCTV and maintain video records, coordinate security arrangements
•Maintain stationery stocks
•Reception duties, greet visitors and clients, ensure all receive a site induction
•Create and communicate meeting minutes as required
•Muster co-ordinator duties
•Coordinate the onshore and offshore material controllers' holidays and holiday cover

•Strong interpersonal and communication skills both verbal and written.
•Ability to work stand-alone, demonstrating initiative and ownership, while also team-working.

•Solutions based, strong planning, organising and numeric skills and excellent attention to detail.
•Computer literate with well-developed IT skills across the Microsoft suite and a practical understanding of data entry and reporting applications specifically SAP
Minimum Qualifications:
Educated to GCSE level or equivalent
Desirable Qualifications:
SVQ Level 3 Business Administration
Understanding of HSSEQ legislation
